How to Set Permissions

|| Note: Admins have the ability to set permissions for other users in the room. Admins have access to everything in the room.

In this article we will cover:

Creating a group
Setting File Permissions
Setting Other Permissions
Adding Members

Permissions are set per group and all members in the same group will have the same permissions. Members can only be in one group per room. If a member should have different permissions than all other members in the room, they should be a part of their own group.

Creating a Group

Go to the Permissions tab at the top.
Click on the (+) icon sign next to Groups on the left-hand side to create a new group.

Once the group is created it will show up on the left hand side. Select this group to set it's permissions.
Then, use the File Permissions and Other Permissions to set what this group is able to see and access inside the room.

Setting File Permissions

File Permissions will allow this group to access folders and files in the Data Room. There are four levels of access:

View (allows viewing with a watermark).
Download (allows downloading with a watermark).
Download Original (allows downloading without a watermark in native format).
Edit (allows for uploading documents).

How to Bulk Download Files in the Data Room

To bulk download files from the Data Room, follow these steps:

Select the desired room and navigate to the Data Room tab at the top of the screen.
Click on the Home folder icon in the left menu to display all the folders and files in the room.
Click the Download All button at the top.

A pop-up window will appear with additional download options. We recommend keeping the default settings for the best download experience. You can also choose to receive an email notification when the download is complete.

Your download will be compressed into a .zip file. Save it to your hard drive and extract its contents to access all the downloaded files.

Further information on Extracting .Zip files in Windows:

Save the downloaded .zip file to the hard drive.
Right click on the file and select extract all. This will open the extraction wizard.
Click Next and then select the location to extract the files to. (This example uses Program Files on C drive.)
Choose the option to Make a new folder. (Most make the folder name “http://IDAutomation.com [FONT NAME]“)
Click Ok. The directory should now point to “C:\Program Files\http://IDAutomation.com _[FONT

How to Adjust Email Notifications in FirmRoom

FirmRoom allows you to easily personalize the frequency and content of your email notifications.

Follow these steps to customize your email notifications:

Click on your User profile located in the bottom-left corner of your screen. It should display your picture and name. If you don't see this, please try zooming out.

A pop-up menu will appear. From the menu, select Email Notifications.

A side panel will open. Here, you have the flexibility to adjust the following settings:
- Select the rooms for which you wish to receive notifications.
- Choose the frequency of notifications, such as immediate, hourly, daily, weekly, or disabled.
- Specify the preferred timing for receiving notifications.
- Customize the type of notifications you want to receive.

Once you have made your desired changes, don't forget to select Save changes to apply the modifications.

Why is my excel document being converted to a PDF?

Similar to permissions, if the document you are downloading gets converted to a PDF, it is likely that the administrator did not give you permission to download it as a .doc file.

Ask your administrator to grant you the permission to download files as they are (i.e. Download Original permissions).

How do I add members?

Adding members is easy as long as you have the sufficient privileges, generally only Admin privileges, for your room.

Navigate to the Permissions tab at the top.
Click the blue Add member button.

A pop-up window will appear. Input the email, choose the permission group, and include an optional message when adding them as a member. You can add multiple emails per invite.

Click Submit.
Another pop-up window will appear asking for confirmation. Click Invite and then the invitation will be sent to their email.

You should see the users invited at the bottom of the member's tab, along with the group they are invited to. If you need to resend the invites, there will be an option to the right of their name. Click Resend.

You can also remove a member from the group by hovering over the far right section of their name. Click the icon that appears.
There will be a pop-up confirming your changes.
